A sports association brought online: website, shop, course registration and management system

From manual admin to an association that works online: management system installed, website, online shop and course registration done on the website instead of at the front desk.

The starting point

The situation

A sports association with courses to fill and registrations collected the way they always had been: in person, by phone, on forms to fill in and then type up. Every member went through twice: once when they signed up and again when someone recorded them.

It's the weeks when courses open that show the limit: everyone arrives at once, and collecting registrations by hand slows everything down on exactly those days.

The brief was to give the association the tools to be online and to get rid of the manual steps.

What we did

The work

Four pieces of work: first the foundation, then what sits on top of it.

  1. The management system, as a base for everything else

Installed and put into service first, as the foundation for everything else. Before, information lived wherever it happened to be: forms, lists, the memory of whoever had been there longest. No digital tool holds up on a base like that.

    • management system installed and set up around how the association works
    • a single reference record instead of scattered lists
  2. The website, the front door

A website that says who the association is, what it offers and how to get involved, easy to read on a phone, because that's where most people looking for a course come from.

    • website built from scratch
    • course information available without having to call
  3. Course registration directly from the website

For the people working at the association, it's the biggest change. Registration is filled in online, whenever it suits the person signing up, and arrives ready to use, with no forms to type up and no queues at the desk in the opening weeks.

    • online course registration, without going to the desk
    • the data arrives already digital: no retyping
    • the weeks when courses start handled without queues
  4. The online shop

Alongside the courses, a shop for what the association sells. Here too, the idea is a channel that works without a person behind every request.

    • online shop built and put into service
    • sales that don't depend on opening hours
The outcome

What's left

An association that collected registrations by hand ended up with a website, a shop, online registration and a management system that ties them together.

The biggest gain is time: typing up, double-checking and chasing registrations is no longer part of the working day for the people there.

Why the collaboration ended

This association and the sports business we describe alongside it are run by the same people, so the story is the same. We didn't agree on the rules for running a shop and moving an organisation forward, and we decided not to continue. Carrying on an engagement knowing we didn't share the direction wouldn't have been honest with either of them, and the digital side was built and working in any case.

What we brought in

The same areas of work we bring to every company: this engagement needed 3 of them, together.
