Outsourced accounting and administration
Administration is the work you can't skip and that doesn't bring in a single extra franc: bookkeeping entries, reconciliations, VAT returns, letters to send, deadlines to meet.
Our team in Lugano includes a bookkeeper who works externally for companies in Ticino and the rest of Switzerland: you send the documents, they get posted and your accounts stay in order, without you having to hire anyone.
How it works
You send the document
Invoice, receipt, bank statement: a photo, a scan or the PDF by email is enough.
We post it
It goes into the right account and is filed so you can find it when you need it.
We keep the accounts up to date
Bank reconciliations, VAT prepared on time, deadlines tracked in the calendar.
You get the picture
You know where your accounts stand during the year, not just at the end.
What we handle
Day-to-day bookkeeping
Entries, journal and bank reconciliations.
VAT and deadlines
Periodic returns prepared in good time and due dates tracked in the calendar.
QR-bills
Issuing invoices to your customers and checking the ones coming in.
Letters and correspondence
Letters prepared and sent on your behalf, on paper too, without a trip to the post office.
Documents
Receipts digitised and filed in order.
One steady contact
The same person, who knows your accounts and your tools.
Which software
We work with the main accounting programs used in Switzerland, set up for VAT, QR-bills and local bookkeeping requirements. If you already have one, we work in yours, and the data stays there.
We're also developing our own ERP: business software built around the way small companies actually work, far more flexible than traditional programs that force the business to adapt to them. It's the same approach we take with custom websites and online shops.
Who it's for
For companies that don't have enough volume for a full-time accountant, but have enough that the admin ends up being done in the evenings or at weekends.
- SMEs and start-ups without an in-house admin team
- companies keeping their books by hand or in spreadsheets
- those who already have someone doing it and need to support or cover for them
Costs
The cost depends on how many documents come through each month and which tasks you hand over to us. You can choose a monthly fee, for bookkeeping kept up continuously, or pay by the hour when work piles up.
We prepare the quote once we've seen your company's real numbers.
Frequently asked questions
How do I send you the documents?
However suits you best: email, a photo from your phone or a scan. If they arrive on paper, you can also post them to us.
Do you replace my fiduciary or accountant?
No, we work alongside them. We do the ongoing work, entries, reconciliations and VAT, and hand them tidy accounts for the year-end closing and balance sheet. They no longer have to sort out the year, and their workload goes down.
Can I hand over just part of the work?
Yes, the service is modular: just the bookkeeping entries, for example, or just the correspondence.
Does the service suit a small company too?
Yes. A good share of our clients are SMEs and start-ups that want bookkeeping support without hiring someone.
How long does it take to get started?
We start after the first conversation and once we have the access we need. How long it takes depends on how organised things are to begin with.
How is my data protected?
We work with tools and procedures that comply with the Swiss nFADP and the European GDPR.

How Much Time Are You Losing Every Month on Admin?
Many SMEs lose precious hours every month on administrative tasks: invoices, deadlines, documents and manual checks. Without automation and system integration, the risk of errors and stress increases. easy4you offers an outsourced administration service, with hourly or monthly payment, that lets you digitalise processes, reduce hidden costs and free up time for the work that generates revenue.

Flat-rate VAT or effective VAT. The first simplifies administration and can generate extra income from the gap between the VAT invoiced and the VAT paid over; the second lets you deduct VAT on purchases, ideal for businesses with high costs. The right choice depends on sector, size and planned investments.
